Senior Executive Assistant
The Role Provide advanced and diverse administrative support within Fidelity Health and Stock Plan Service Technology group. This support will include:
· Provide all aspects of support (e.g., proactive calendar management, meeting coordination, trouble shooting of conflicts and potential obstacles, domestic and international travel planning and expense reporting) for multiple executives
· Manage daily workflow of expected and unexpected requests and commitments to ensure accuracy, efficiency and timeliness.
· Communicate on behalf of at all levels both internally and externally.
· Develop and maintain working relationships across business units to facilitate efficiency and problem solving.
· Engage with team members to advance best practices and cross-train on new and existing tools.
The Expertise and Skills You Bring
· This position requires an experienced administrative assistant who demonstrates professionalism, maturity, enthusiasm, initiative and a high level of energy.
· 3 years of executive administrative experience preferred.
· Strong organizational, time-management, prioritization and project management skills Ability to successfully build relationships and interact positively and effectively across multiple levels Excellent written and verbal communication skills Focus on accuracy and attention to detail.
· Collaborates effectively in a high volume, fast-paced environment, balancing multiple priorities.
· Collaboration, creativity, flexibility, and teamwork in scheduling meetings.
· Experience in managing sensitive and confidential information.
· Initiative and follow through to identify and resolve potential obstacles or conflicts and provide immediate resolution and/or alternatives.
· Detail-oriented, proactive, and strong organizational skills
· Exceptional team player who develops strong working relationships with colleagues across the company and prioritizes team engagement and events.
· Strong Microsoft Outlook, Word, PowerPoint, Excel and MS Teams skills.
Your responsibilities include:
· Handle and prioritize complex executive calendars across Fidelity.
· Coordinate travel, prioritize expense reports, and process invoices.
· Provide support in various administrative projects, assisting executives by taking ownership for complex details and executing independently.
· Initiate resolution of sophisticated problems and inefficiencies.
· Maintain strict confidentiality and possess a detailed knowledge of the Executive’s span of control and company policies and procedures.
· Work with spreadsheets, databases, and word processing software packages to support executives by crafting quality presentations, reports and current data and information.
· Partner on agenda and presentation creation for leadership, all-hands and other key team meetings.
· Prepare and format critical documents.
The Expertise and Skills You Bring
· Bachelor's degree is strongly preferred but not required.
· 5 plus years of senior executive admin experience.
· Broad understanding of company/functional policies and practices and financial industry background is highly preferred.
· Polished, professional maturity and previous corporate environment experience.
· Proven effectiveness in interactions and communications with senior level management.
· Advance administrative skills to provide daily executive support, while simultaneously working on administrative projects and other diverse tasks.
· Collaborates effectively in a high volume, fast-paced environment, balancing multiple priorities.
· Detail-oriented, proactive, and strong organizational skills
· Self-starter with a sense of ownership and has the initiative to proactively identify and resolve issues and know when to seek clarification or assistance.
· Ability to exercise extreme sensitivity, discretion, and judgment as you will be tasked with assignments that are often confidential and sophisticated in nature.
· Flexible and willing to adapt to different work styles, preferences, and frequently changing priorities.
· Exceptional team player who develops strong working relationships with colleagues across the company and prioritizes team engagement and events.
· Willingness to learn and advance your skills.
· Excellent written and grammatical skills (i.e. for generating and editing memos and emails) and are proficient in MS Office (SharePoint, Office Teams, Microsoft Word, Excel, PowerPoint, and Outlook).
